Required:
Graduation from an accredited high school or equivalent
3+ years’ experience in a general office setting required
Computer experience with proficiency in databases, spreadsheets, and word processing using industry standard software
Ability for spur of the moment transportation without relying on organization vehicles
Must possess or ability to readily obtain a valid driver’s license issued by the State of Texas for the type of vehicle or equipment operated
Department of Motor Vehicle check may be required, if applicable
Customer Service Oriented.
Excellent written and verbal communication skills
Excellent Computer Skills MS Office
Must be willing and able to work evening and weekend hours if necessary
Must be in compliance with GCHD Immunizations policy
Must be in compliance with ICS training requirements
Must pass criminal background check and drug/alcohol screening
An equivalent combination of education and work experience which appropriately demonstrates the knowledge, skills and abilities to perform the above described essential functions will be considered when hiring for this role.
Traditional Duties:
Coordinates activities with Consumer Health Services administrative assistant to review OSSF maintenance reports, enter these reports into the Decade OSSF database, generate letters and file all records and maintenance contract information for the OSSF program
Report any non-compliances to OSSF investigative staff
Responsible for drafting past due letters to food establishments
Coordinates and assures that all requests under the Freedom of Information Act are processed in accordance with the Act and notifies GCHD’s Records Officer in accordance with GCHD Board approved policy
Assures that all records generated by the Director are retained in accordance with state law and GCHD Board approved policy
Oversees and maintains the division’s inventory records and liaisons with GCHD’s accounting department
Maintains the schedule of the Director
Organizes the work of the Director
Prepares all meeting, committee, and task force materials including the preparation of the meeting agenda
Assists in the preparation of power point presentations
Searches the internet for Director to locate needed information
Creates and maintains data bases vital to the data management of the program
Queries information for monthly/quarterly/annual reports at the request of the Director
Assists in the preparation of court complaints and assures that the complaints are notarized as necessary
Assists in the collection of fees for permits and lab samples in accordance with Health District’s cash control policy
Assists in the preparation of daily deposits associated with the daily operations of the Office of Environmental Health Programs
Orders and maintains supplies for the Director
Fills in and provides clerical support to other divisions within the Office of Environmental Health Programs
Assists in the training and provides direction to other division administrative assistants
Maintains necessary training level for an administrative assistant
Performs other duties as assigned by supervisor
