This position proactively manages the daily operations of the General Counsel’s office including working with outside counsel, legal department meetings and training, and special projects.
This position is also responsible for facilities and technology needs and matters; change management with respect to new policies and programs; internal budget preparation, management, and accountability; financial outlook preparation; supply strategy and coordination; outside counsel budget preparation and coordination; records and contract management; and departmental event planning and oversight.
What You'll Do: Leads budget development and tracking for all divisions of General Counsel’s office.
Maintain roll-up of division budgets and report regularly on budget progress to senior management.
Identifies, implements, and maintains technology solutions to improve efficiency and effectiveness of General Counsel’s office.
Creates and maintains documentation such as system manuals, training materials, quick reference guides, and other operational support documentation process workflow, and system design functionality.
Gathers, reviews, and analyzes business and industry data, including KPIs, financial reports, and other key metrics using data analytics tools for reporting to Board, Senior Management,s and various other Legal Department stakeholders.
Manages the end-to-end lifecycle of outside counsel engagement, including onboarding, billing operations, auditing, reporting, and offboarding.
Additional Responsibilities: Reviews and analyzes current team processes to determine process gaps and obstructions in order to identify and present new process solutions and/or improvements to the senior management of the General Counsel’s office.
Coordinates, manages, and/or serves as lead on projects and initiatives that address the needs of the Legal Department to assist with a timely and effective solution.
Develops and maintains an Outside Counsel spending and budgeting dashboard to enable informed decision-making.
Ensures efficient organization, storage, and retrieval of Department documents and workflow.
Streamline invoice review, approval, payment processes, and cost tracking for outside legal services.
Oversees records management for the Legal departments as well as maintains the Legal library.
Manages ongoing compliance training for attorneys and other projects as requested by the General Counsel.
Facilitates change management activities to effectively inform Legal Department employees of application updates and process changes that affect their work.
Assists in the support and training on the use of Legal Systems Consults with Legal and IT teams regarding various integrations between Legal Systems in order to plan and manage the exchange of data between Legal and Corporate systems.
Works cross-functionally with all groups within Legal as well as other business teams, including Finance, IT, Supply Management, and HR.
Assists with developing, supporting, and maintaining Legal Department SharePoint sites Minimum Qualifications: Associate degree.
Four to six years of experience.
Additional Qualifications: Proven Project Management skills Manages tasks to effectively and efficiently complete work responsibilities in a timely manner.
Exercises discretion and judgment Excellent communication skills, both written and verbal, for effective collaboration with cross-functional teams.
Demonstrated ability to effectively implement a vision and to proactively identify opportunities to improve legal and business processes.
Expertise using technologies for document management, matter management, electronic billing, electronic signature, MS-Office, SharePoint, Power Platform, etc.
Ability to manage change and work with attorneys and other departments to integrate processes and continuously improve the way the law department works and uses technology.
Initiative, leadership, influence without authority and relationship building.
Problem-solver with demonstrated ability to facilitate discussions between all levels and must be comfortable working with entry level staff to senior executives.
Ability to support attorneys and team in delivery and success of external counsel, budgets, and training calendar as may be appropriate.
Preferred Experience: Strong knowledge of Legal Systems, including Document Management, Matter/Spend Management, Entity Management, Legal Hold, and Document Comparison.
